Callsheets are the daily briefing document that tells every crew member where to be and when. CineFlow’s callsheet editor lets you build a complete, professional callsheet for each shoot day — with tabbed sections for header info, locations, the day’s schedule, crew, talent, and department notes — and send it directly to your team when you’re ready.

Browsing your callsheets

From your project sidebar, select Callsheets. The list view shows all callsheets for the project. You can switch between Cards, Table, and Kanban views using the toggle in the toolbar. Each callsheet card displays its title, general call time, location, shoot day label, and current status (draft, published, or completed). To open a callsheet for editing, click its card.

Creating a callsheet

Start the wizard

In the Callsheets list, click the + button (or Create your first callsheet if none exist yet). The callsheet wizard opens.

Select a shoot day

Choose the shoot day this callsheet covers. CineFlow links the callsheet to that day, which lets it pull in scheduled shots and crew automatically.

Set basic details

Enter a title, general call time, location name, and address. These appear in the callsheet header.

Choose scenes

Select the script scenes scheduled for this shoot day. CineFlow uses this to seed the day’s schedule tab.

Confirm

Click Create callsheet. CineFlow creates the callsheet and opens it in the editor.

Editing a callsheet

The callsheet editor is divided into six tabs. You can switch between them at any time — all changes save automatically.

Sending callsheets by email

When your callsheet is ready, send it directly to your crew from within CineFlow.

Publish the callsheet

Click Publish in the toolbar. This locks a version of the callsheet and makes it ready to send.

Open the send dialog

Click Send email in the toolbar.

Review recipients

CineFlow pre-fills the recipient list with all crew members who have email addresses on file. Add or remove addresses as needed.

Send

Click Send. Each recipient receives a personalised email with the callsheet and a link to view it in their browser.

Crew receipt confirmation

CineFlow tracks whether each crew member has opened their callsheet email. Return to the Crew tab after sending to see receipt status alongside each crew member’s record.

Versioning

CineFlow stores a version history for every callsheet. Each time you publish, a new version is created automatically. Open the Versions panel from the toolbar to browse past versions. Click any version to preview what was sent to crew on that publish. This gives you a clear audit trail of what your team received and when.

Exporting as PDF

To produce a print-ready callsheet, click Export PDF in the toolbar. The export dialog lets you choose layout options before downloading.
PDF exports count against your plan’s monthly limit. Free plans include 10 PDF exports per month; Solo plans include 100. Team and Pro plans have unlimited PDF exports. If you reach your limit, you can purchase a PDF add-on pack in Settings → Billing, or upgrade your plan.
Share a read-only callsheet with anyone — even without a CineFlow account.

Open the share dialog

Click Share in the toolbar.

Generate a link

Click Create link. CineFlow produces a unique URL for this callsheet.

Distribute

Copy the link and send it to your recipients. They can view the formatted callsheet in their browser without logging in.

Revoke

Return to the share dialog and click Revoke to deactivate the link.
