It’s split into two tabs, Cast for on-screen talent and Crew for behind-the-camera team members. Both share a live availability calendar so you can see at a glance who is available on each shoot day.
Cast tab
The Cast tab holds a record for every actor or talent attached to your project.
Adding a cast member
Click the + button in the toolbar, or press Alt+Shift+C, to open the new cast member form.
Setting availability here is reflected immediately in the availability calendar at the bottom of the page, so you can spot scheduling conflicts before they become problems on set.
Editing and removing cast members
Click any cast member’s row to open their detail panel on the right. Edit any field inline, changes save automatically. To remove a cast member, open their detail panel and click Delete.
Crew tab
The Crew tab holds a record for every crew member on the project, organised by department.
Adding a crew member
Click the + button, or press Alt+Shift+R, to open the new crew member form.
Crew member email addresses are used to pre-fill the recipient list when you send a callsheet. Keep them up to date to avoid missed callsheets.
Custom fields
Both Cast and Crew support custom fields. Add a custom field from the Fields menu in the toolbar, give it a name and choose a type (text, number, or date). Custom fields appear as columns in the roster and can be filled in per person.
Editing and removing crew members
Click any crew member’s row to open their detail panel. Edit inline and changes save automatically. Use Delete in the detail panel to remove the record.
Availability calendar
Below the cast or crew list, a calendar view shows availability across all shoot days defined for the project. Each shoot day is a column; each person is a row. Cells are shaded to indicate availability status.
Switch between the Cast and Crew availability views using the tab selector. If no shoot days have been defined yet, set your project’s start and end dates in Project Settings: CineFlow generates shoot days automatically from that date range.
Insights drawer
Click Insights in the toolbar to open the Insights drawer. It gives you a summary view of your cast and crew data, total headcount by department, availability gaps, and other production metrics at a glance.
Use the Insights drawer during pre-production planning to identify understaffed departments before you lock the schedule.
Exporting the people list as PDF
Click Export PDF in the toolbar to produce a printable cast and crew directory. The export dialog lets you choose whether to include cast, crew, or both, and whether to include contact details.
PDF exports count against your plan’s monthly limit. Free plans include 10 exports per month; Solo plans include 100. Team and Pro plans have unlimited PDF exports.
